Question 1 Report

Fig. 1 shows the current contents of a folder used by a community theatre group. The group is preparing a presentation and a printed programme for its production of The Lantern Keeper. The director has placed all files in one location, including draft slides, photographs, sound clips and a spreadsheet showing ticket cost. A new member must reorganise these files before completing task B3. The group needs a simple structure that other members can use without moving or deleting the wrong document.

(a) Identify three different file types shown in Fig. 1 and state the likely application used to open each type. [3]
(b) Create a revised folder structure for the theatre files. Include a folder for presentation files, a folder for media and a folder for financial information. [5]
(c) Use suitable filenames to rename the two presentation files and the photograph so that their purpose and status are clear. [6]
(d) Explain why the director should resave the presentation using a new version number rather than replacing the previous file. [4]

Answer Details

(a) The extension identifies the file type and therefore the likely application [3]. A .pptx file is a presentation opened in presentation software; a .jpg file is an image opened in an image viewer or image editor; and an .mp3 file is audio opened in a media or audio player.

(b) A suitable structure is [5]:

LanternKeeper/
├── Presentations/
├── Media/
│ ├── Images/
│ └── Audio/
├── Financial_Information/
└── Documents_Programme/

The main production folder keeps all work together, while separate folders make it less likely that members move or delete the wrong kind of file.

(c) Suitable renamed files are LanternKeeper_Presentation_v02.pptx, LanternKeeper_Presentation_v01.pptx and LanternKeeper_LanternPhoto_01.jpg [6]. The shared production name identifies purpose, and the version numbers distinguish the current and earlier presentations.

(d) Saving a new version preserves the earlier working file [4]. If an error or unwanted change is made, it can be reversed by returning to the previous version. The version number also shows which file is newest and reduces the risk of accidental loss through overwriting.
