Answer Details
(a) A record is a complete set of data about one item, entity or person in the database. [1] For example, in a sports club database, one record would contain all the information about a single member (their name, membership number, date of birth, etc.).
(b) A field is a single category or item of data within a record. [1] For example, "MemberName" or "DateOfBirth" would each be a field. All records share the same set of fields, but each record has its own values for those fields.
(c) Two reasons why a calculated field might be used in a database report:
- To automatically work out values such as totals or averages. For example, the report could calculate the total membership fees collected by summing the Fee field across all records. [1]
- To reduce data entry errors, because the computer performs the calculation rather than a person doing it manually, eliminating arithmetic mistakes. [1]
