Manipulate Data (Spreadsheets)

Overview

A spreadsheet often holds far more data than you need to look at all at once. Manipulating data means rearranging and trimming it so the answer to a question jumps out: sorting a class list into mark order, or pulling out only the customers in one city. The data itself does not change; you simply change which rows you see and the order they appear in.

In this lesson you will learn to sort data into ascending or descending order on one column or several, and to search and filter so that only the rows matching your criteria remain. You will use the logical operators AND, OR and NOT, the comparison operators such as greater than and not equal to, and wildcards for matching partial text. These are the everyday tools that turn a wall of numbers into a clear report.

Raw data is rarely in the order, or the subset, that answers your question. A manager does not want every employee; they want only those in one department, sorted by years of service. Sorting and filtering are how you get there in seconds without retyping anything. In the practical papers you are given a data file and asked to extract or order exactly what the task specifies, so precise control over criteria is the skill being tested.
