Word Processing

Overview

Word processing software is the tool you will use most often in ICT, and probably in every job you ever hold. From a simple memo to a multi-page report with embedded charts, understanding how to structure, format, and present text-based documents is a skill that examiners test in detail across the 4IT1 papers.

In this lesson you will learn how to enter and edit text accurately, apply formatting at character, paragraph and page level, build tables and columns, integrate objects from other applications, produce the seven standard document types the specification names, and set up a mail merge that pulls data from a spreadsheet or database to generate personalised letters.

Objectives

  1. Enter or edit text that is appropriate for a given context using accurate spelling, punctuation and grammar
  2. Enter, edit and format text using: bullets, numbering, sub-numbering, alignment, tabs, line spacing, colour, font size and style, text wrap, text boxes
  3. Use columns and/or tables: horizontal and vertical text alignment, merge and split cells, gridlines, borders, shading
  4. Use page layout: headings, sub-headings, lists, templates, header, footer, portrait, landscape, page breaks, page numbering
  5. Integrate in a single document: charts, tables, images, callouts/autoshapes, text from different files, text boxes, grouping, layering, values from spreadsheets
  6. Produce documents in these document types: letter, report, newsletter, poster, leaflet, information sheet (fact sheet), memo
  7. Use standard conventions: salutation, complimentary close, date, subject, logo
  8. Use mail merge: mail merge from word processed, spreadsheet and database documents

Lesson Note

Open any office and you will see word processing software on almost every screen. Letters to clients, internal memos, company reports, promotional leaflets - all start life as a word-processed document. The difference between a polished, professional document and one that looks rushed often comes down to a handful of formatting and layout decisions. Mastering those decisions is exactly what this topic is about.
