File Management

Overview

Every document, image, and spreadsheet you create is a digital file, and without a clear system for naming, organising, and protecting those files, even the best work can be lost in seconds. File management is the foundation that keeps everything else you do on a computer running smoothly.

In this lesson you will learn how to save work regularly and keep it secure, choose filenames and formats that make sense weeks later, and build folder structures that let you find any file in moments. These are practical skills tested in the Edexcel 4IT1 practical paper, and they underpin every other software skill in the course.

Objectives

  1. Save work regularly and keep information secure
  2. Use sensible filenames and formats
  3. Create and manage files and folder structures

Lesson Note

Imagine finishing a coursework project the night before the deadline, only to discover you saved it to a temporary folder that was emptied during a system update. Or opening a file called 'Document1 (3) FINAL v2 copy.docx' and having no idea which version is current. Good file management prevents both scenarios. It takes minutes to set up and saves hours of frustration.
