Create A Database Structure

Overview

Behind almost every app you use sits a database: the contacts on a phone, the stock in a shop, the members of a club. A database only works well if its structure is right from the start. Choose the wrong field type and a price loses its pennies; forget a key and two people with the same name become impossible to tell apart. Getting the structure right is the quiet skill that makes everything else, the searches, the calculations and the reports, possible later.

In this lesson you will learn how data is organised into fields and records, the difference between a flat file and a relational database, and how to pick the correct data type for every field. You will meet primary and foreign keys and see how they link two tables together, and you will design a clear data entry form. These are the foundations of the practical database papers, so master them and the rest of the Databases unit falls into place.

Objectives

  1. Create an appropriate database structure.

Import data from existing files (including .csv, .txt) using specified field names to create tables Set appropriate data types to fields including text, numeric (integer, decimal, currency), date/time, Boolean/logical Set sub-types of numeric data including percentage, number of decimal places Set display format of Boolean/logical field (yes/no, true/false, checkbox) Set display format of date/time data Create and edit primary and foreign keys Create relationships between tables.
  3. Create and use a data entry form.
  4. Create a data entry form including specified fields, appropriate font styles and sizes, appropriate spacing between fields, character spacing of individual fields, use of white space, radio buttons, check boxes, drop down menus.

Lesson Note

A database is simply an organised collection of data, and a database program is the software that stores and retrieves that data in a structured way. The structure you build decides what the database can do. A well-structured database stores each fact once, protects itself from bad data, and lets you pull out exactly the records you need in seconds. A badly structured one repeats data, allows errors in, and becomes slow and unreliable. Every later skill in this unit, searching, calculating and reporting, depends on the structure you set up here.
