Software Tools

Overview

Every time you type a name, a date or a price into a computer there is a chance of getting it wrong, and a single wrong character can send a bill to the wrong person or break a calculation. Software tools are the built-in helpers that catch those slips for you: the spell checker that questions an unfamiliar word, the grammar checker that flags an odd sentence, and the validation rules that refuse data which is simply not reasonable. Used well, they turn careless errors into rare ones.

In this lesson you will learn exactly what each tool can and cannot do. You will see why a spell checker happily accepts a real word used in the wrong place, and you will learn the five validation checks the Cambridge syllabus expects you to name and apply, from a range check on a temperature to a format check on a date. Knowing the limits of these tools is what separates a careful operator from one who trusts the machine too far.

Objectives

  1. Reduce errors.
  2. Use automated software tools (spell check, grammar check) and make appropriate changes to ensure all work produced contains as few errors as possible Use validation routines to minimise data entry errors.
  3. Spell check software.
  4. Automated suggestions given by spell check software do not always give the correct response.
  5. Validation checks.
  6. Importance, characteristics and uses of appropriate validation including range check, character check, length check, type check, format check, presence check.

Lesson Note

Data is only useful if it is correct. A telephone number with one wrong digit cannot be dialled, a misspelt customer name looks unprofessional, and a price typed as 1000 instead of 100 can cost a business real money. Software tools help you reduce these errors before they cause harm. The skill the examiner is testing is not just clicking a button: it is knowing which tool catches which kind of error, and being honest about the errors no tool can catch at all.
