Document Production

Overview

A well produced document does its job quietly: the page is the right size and orientation, the margins frame the text, the columns sit evenly, and breaks fall exactly where they should. Document production is the craft of controlling all of this on purpose rather than letting the software decide. It is also where one of the most powerful office tools lives, mail merge, which can turn a single letter and a list of names into hundreds of personalised copies in one step.

In this lesson you will learn to set page size, orientation, margins and a gutter for binding, to arrange text in columns, and to place page, section and column breaks where you need them. You will format text with line spacing, tabs, indents and lists, find and replace text precisely, and add bookmarks and hyperlinks for navigation. Finally you will master mail merge: a master document, a data source and merge fields working together to personalise a document at scale.

Objectives

  1. Organise page layout.
  2. Edit page layout including page size, page orientation, page margins, number of columns, column width, spacing between columns, set and remove breaks (page, section and column breaks).
  3. Format text.
  4. Set line spacing including: single, 1.5 times, double, multiple, spacing before and after paragraphs Set tabulation including: left, right, centred and decimal tabs, indented paragraphs and hanging paragraphs Text enhancement including bold, underline, italic, superscript and subscript, changes in case Create or edit lists including bulleted, numbered.
  5. Find and replace text.
  6. Including matching case, whole words.
  7. Navigation.
  8. Add and delete bookmarks/hyperlinks.
  9. Pagination.
  10. The purpose of setting page, section and column breaks.
  11. Gutter margin.
  12. The purpose of setting gutter margins.

Lesson Note

In a Cambridge practical paper you are given exact instructions: a page size, a margin in centimetres, a number of columns, a break in a named place. Marks come from carrying these out precisely and consistently. The same skills matter outside the exam, from a bound report that needs a gutter to a mailshot of personalised letters. Knowing which tool does which job, and why, is what lets you produce a document that looks deliberate rather than accidental.
