Trading Documents

Overview

Every commercial transaction leaves a paper trail. From the first enquiry about goods to the final receipt, trading documents create an ordered record that protects both buyer and seller, prevents disputes, and keeps accounts accurate. Understanding these documents is essential for anyone working in commerce.

In this lesson you will learn the purpose and sequence of the ten key trading documents, practise completing invoices with trade discounts and VAT, and interpret information from real commercial paperwork. These skills appear regularly on both Papers 1 and 2 of the Edexcel Commerce exam.

Objectives

  1. Understand the purpose and appropriate use of different trade documents: enquiry, quotation, order, advice note, delivery note, invoice, debit note, credit note, statement of account, receipt
  2. Complete different trade documents
  3. Interpret information from trade documents

Lesson Note

Imagine ordering 500 boxes of printer paper from a supplier. Without written records, how would you prove what was ordered, what was delivered, and what price was agreed? Trading documents solve this problem. They form a chain of evidence that tracks every transaction from the buyer's first enquiry to the seller's final receipt of payment. Getting any link in this chain wrong can mean overpayment, stock shortages, or legal disputes.
