Proofing Techniques

Gbogbo ọrọ náà

You have typed the whole document, the spell checker is quiet, and you are ready to print. This is exactly the moment most marks are lost. Proofing is the disciplined final stage where you hunt for the errors the software cannot see: a number copied the wrong way round, a paragraph stranded at the top of a page, a heading separated from the text it introduces, a table split across two columns. Good proofing is what makes work look finished rather than nearly finished.

In this lesson you will learn the difference between three terms that students often confuse: proofreading, verification and validation. You will practise spotting transposed numbers, inconsistent case and uneven spacing, and you will learn to remove widows and orphans, blank pages and split lists. By the end you will check a document the way an examiner does, line by line, looking for the small faults that quietly cost marks.

  1. Perform visual verification.
  2. Identify and correct data entry errors including transposed numbers, incorrect spelling, inconsistent character spacing, inconsistent case.
  3. Proofread.
  4. Identify and correct inconsistent line spacing, remove blank pages/slides, remove widows/ orphans, inconsistent or incorrect application of styles, ensure that tables and lists are not split over columns or pages/slides.
  5. Verification.
  6. Importance, characteristics and uses of verification including visual checking and double data entry to reduce data entry errors The need for validation as well as verification.

Akọmọ Ojú-ẹkọ

Software tools catch some errors, but never all of them. A spell checker passes a correctly spelt wrong word; a validation rule passes any value that is reasonable. The errors that remain, a digit copied the wrong way round, a heading left alone at the foot of a page, a list broken across two columns, are found only by careful human checking. Proofing is that human stage, and in a Cambridge practical paper a polished, consistent document is the difference between a good mark and a full one.
