Incomplete Records

Gbogbo ọrọ náà

Not every business keeps a full set of double-entry books. A market trader might keep only a cash box and a notebook of who owes what; a small shopkeeper might have a bank statement and little else. When the year end arrives and the owner still wants to know their profit, the accountant has to reconstruct the missing figures from whatever fragments of information do exist.

In this lesson you will learn how to calculate profit for the year purely by comparing opening and closing equity, how to use control accounts to reconstruct revenue and purchases when no sales or purchases day book was kept, and how to bring both techniques together to prepare a full income statement and statement of financial position from incomplete records.

Ebumnobi

  1. Calculate the profit for the year by comparing the open and closing equity figures
  2. Calculate revenue and purchases using appropriate accounting techniques, to include control accounts
  3. Prepare income statements and statements of financial position from incomplete records and information

Akọmọ Ojú-ẹkọ

Plenty of small businesses never keep a full double-entry system. The owner banks the takings, pays suppliers when the bills arrive, and keeps a rough note of who still owes money, but there is no sales day book, no purchases day book, and no ledger of individual transactions. This is called trading from incomplete records, and it is far more common in practice than a textbook full set of books might suggest. The accountant's job is to reconstruct the missing figures, revenue, purchases, even profit itself, from whatever fragments of information the owner can supply.
