Using software applications

This sub-topic is about quality of output. The specification expects you to produce work that is not just technically correct but genuinely fit for its purpose and audience.

Fitness for purpose and audience: A poster advertising a school concert should look different from a formal letter to a business client. The poster uses large, eye-catching fonts, bold colours and images. The letter uses a standard layout (address, date, salutation, body, complimentary close), a professional font and restrained formatting. Both are produced using the same word processing software, but the design choices are entirely different because the purpose and audience are different.

Accepted layouts and house styles: Many organisations use house styles - consistent formatting rules that apply across all their documents (specific fonts, colour schemes, logo placement, header and footer content). The exam may give you a house style to follow and test whether you apply it consistently.

Appropriate use of styles:

  • Serif fonts (such as Times New Roman) have small decorative strokes at the ends of letters. They are traditionally used for body text in printed documents.
  • Sans serif fonts (such as Arial) have clean lines without decorative strokes. They are commonly used for headings, digital content and presentations.
  • Colour choice should consider readability (high contrast between text and background), accessibility (avoiding colour combinations that are difficult for colour-blind users) and appropriateness for the audience.

Accuracy and proofreading: The specification explicitly requires you to work accurately and proofread your work. Use the software's built-in tools (spell check, grammar check) where appropriate, but do not rely on them entirely. Spell checkers will not catch a correctly spelled but wrong word ("their" instead of "there"), and grammar checkers can miss context-dependent errors.

Proofread on screen and on paper. Errors that are invisible on screen often become obvious on a printout. If the exam task requires a printed output, check it before you submit. A newsletter with a spelling mistake in the headline is not fit for purpose, no matter how well the rest of the layout works.

Reviewing outcomes

The final sub-topic in Topic 5 is about critical evaluation. After producing a digital product, the specification expects you to be able to:

  1. Compare the product with the original requirements. Does it do what was asked? Does it include all the required elements? Does it meet the specified format, layout and content requirements?
  2. Identify strengths and weaknesses. What works well? What does not? A strength might be clear layout and consistent formatting. A weakness might be that the colour scheme is hard to read or that a chart does not have axis labels.
  3. Suggest improvements. For each weakness, propose a specific change. "The chart would be clearer with axis labels and a legend" is better than "the chart could be improved."
  4. Make modifications. Actually implement the improvements where possible.
  5. Evaluate the tools and techniques used. Was the software appropriate for the task? Were the features you used effective? Would a different approach have produced a better result?

This review cycle - produce, compare, evaluate, improve - mirrors professional practice in every industry that uses ICT. The exam tests it because it demonstrates that you can think critically about your own work, which is a higher-order skill than simply following instructions.

Common mistakes

  • Choosing the wrong software for the task. If the scenario asks you to create a searchable record system, do not reach for a spreadsheet. If it asks for calculations and charts, do not reach for a database. Match the tool to the task.
  • Confusing data and information. "25" is data. "25 students enrolled in ICT this year" is information. The exam tests this distinction directly.
  • Ignoring the audience. A document that uses Comic Sans and rainbow colours might be perfect for a children's party invitation but entirely wrong for a business proposal. Always consider who will read the output.
  • Vague evaluation. "It looks good" is not an evaluation. "The document uses a consistent sans serif font and high-contrast colour scheme, which makes it easy to read, but the header image is too large and pushes the first paragraph below the fold" is an evaluation.
  • Not proofreading. Spelling errors, inconsistent formatting and misaligned elements all cost marks. Take time to check your work before submitting it.
